Our Process

The WISE™ Start

  1. W

    Welcome & Consultation

Begin with a free 20-minute personalized match call with a member of our clinical team.

    • What you are navigating
    • What has or has not worked before
    • Clinical approaches that may align
    • Which provider is the best fit

You always have the final say in your therapist. We typically respond within one business day.

  2. I

    Intake Session

Your 60-minute intake session is a dedicated clinical assessment. We'll send simple, secure forms — most people finish in about 20 minutes.

    • Complete the secure onboarding forms and brief baseline assessments
    • A card on file reserves your time (authorization within 24 hours of booking)
    • Please finish all intake materials at least 48 hours before your session

This preparation allows your clinician to begin thoughtfully prepared, so your time together is meaningful and focused.

  3. S

    Strategic Treatment Planning

In your first counseling session following intake, we revisit key insights, offer clinical recommendations, and co-create measurable goals and objectives.

Many clients also begin learning practical skills and strategies in this session, leaving with clarity and forward movement.

  4. E

    Evolving Support

We meet at your agreed-upon standing time, often weekly.

    • DBT-informed skills
    • Trauma-informed approaches
    • Attachment-focused work
    • Compassion-focused interventions
    • Integrative modalities tailored to your needs

Therapy evolves as your life evolves. Some clients work intensively for a season. Others return during transitions. We grow with you.

Billing & Coverage

Insurance & Good Faith Estimate

Insurance & Out-of-Network Benefits

Wisely Wellness is a private-pay practice and does not bill insurance directly. If you have out-of-network benefits, we provide a monthly superbill that you may submit to your insurance company for potential reimbursement. Because coverage varies by plan, we encourage you to contact your insurance provider directly to understand your out-of-network benefits and reimbursement rates. Reimbursement is determined solely by your insurance carrier and is not guaranteed.

Good Faith Estimate

In accordance with the No Surprises Act, all private-pay clients receive a Good Faith Estimate outlining the anticipated cost of care before services begin. We value transparency and want clients to have a clear understanding of their investment in care from the very beginning.

A detailed Good Faith Estimate is included in your intake paperwork and outlines our full list of services and rates. Because our rates are set by service, session length, and clinician training level (master's or doctoral) — and your exact fee is confirmed with your clinician before care begins — most clients receive this estimate once at the start of care. If your treatment plan changes in a way that affects cost, an updated estimate will be provided. The rates listed on this page reflect our most booked services. We do not add miscellaneous administrative fees, and we are always happy to discuss any questions related to fees, planning, or fit.

Our Policies

Policies designed to protect continuity and care quality

These highlights support clarity, privacy, and a smooth care experience. Full policies and consent documents are reviewed during intake.

Privacy & Confidentiality

Protecting client privacy is a foundational part of our work. Therapy is confidential, with limited exceptions where disclosure may be permitted or required by law, including certain safety concerns, abuse reporting obligations, and lawful court orders. Full privacy, consent, and practice documents are reviewed during intake so clients can make informed decisions before care begins.

Scheduling & Cancellation

Appointments are reserved and held specifically for you. If you need to cancel or reschedule, we ask for at least 48 hours' notice. Appointments canceled, changed, or missed with fewer than 48 hours' notice are charged the full session fee. We also understand that life happens — each client may request fee forgiveness once per year for extenuating circumstances.

Telehealth

All Wisely Wellness services provided through secure telehealth are available only when your clinician is authorized to practice in the state where you are physically located at the time of service. To protect privacy and support the quality of care, sessions should be attended as you would an in-office visit: from a private, appropriate setting and without multitasking such as driving, working, or other distractions.

Communication

Clients communicate directly with their clinician for scheduling and administrative needs. Clinical care is provided during scheduled sessions rather than through email or text. Between-session coaching calls may be available as part of an agreed-upon treatment plan. We do our best to respond to communications within one business day.

Administrative & Professional Services

From time to time, clients may request services outside of scheduled sessions, such as letters, record review, meetings, or summaries. When appropriate, these services may be billed at the clinician's standard hourly session rate.

Court Involvement

Wisely Wellness is a treatment practice and does not provide custody evaluations, forensic services, or expert testimony. Our providers do not voluntarily participate in legal proceedings. If records, documentation, or testimony are legally required, additional policies and professional fees may apply.

Questions, Answered

Frequently asked questions about beginning care

Is telehealth effective?

Yes. Research consistently shows telehealth counseling to be as effective as in-person care for many concerns. Our secure platform ensures privacy and convenience.

How quickly can I begin?

Most clients schedule their intake within 3–7 days of their consultation.

What if I am not sure which therapist is right?

That is exactly what the consultation is for. In some cases, clients may consult with more than one provider before deciding.

Do you offer intensives or group experiences?

Yes. In addition to ongoing counseling, we offer wellness experiences, courses, and counseling intensives.

Is this practice right for crisis situations?

Although we specialize in complex cases, Wisely Wellness is not a crisis service. If you are experiencing an emergency, please contact 911 or your local crisis line.

How do I know if Wisely Wellness is the right fit for me?

A consultation is a simple way to explore whether our approach aligns with what you're looking for. During this conversation, you can share what brings you in, ask questions about our services, and determine whether working together feels like the right next step.

How do I schedule my first appointment?

You may schedule your first appointment through our online booking page, by phone, or by email. Once your appointment is reserved, you will receive access to your client portal and intake paperwork to complete before your first session.

What can I expect in a consultation?

A consultation is a brief conversation to discuss what brings you in, answer initial questions, and explore whether Wisely Wellness may be a good fit for your needs.

What can I expect in the intake session?

The intake session is a comprehensive first clinical meeting designed to help us understand the full picture of your experience. During this session, your clinician will review your pre-session questionnaires, explore your biopsychosocial and spiritual history, and complete a diagnostic interview. Together, you will discuss your current concerns and begin identifying meaningful goals so that care can be thoughtfully tailored to your needs.

Are all sessions virtual?

Yes — all clinical sessions (counseling, supervision, and consultation) are provided through secure telehealth, allowing you to attend from a private and comfortable setting. Wellness experience formats vary by offering and season, allowing clients to attend sessions from a private and appropriate setting.

What do your clinicians specialize in?

Each of our clinicians brings highly focused expertise to their work. Our providers have backgrounds in both education and counseling and approach care from a trauma-informed, mindfulness-based, and compassion-focused perspective. For more information about each clinician's specialties, modalities, and areas of focus, we invite you to visit their individual About pages.

Do you take insurance or provide superbills?

Wisely Wellness is a private-pay practice and does not bill insurance directly. If you have out-of-network benefits, we provide a monthly superbill that you may submit to your insurance provider for possible reimbursement. Because every plan is different, we encourage clients to contact their insurance company directly to understand their specific coverage.

What is a superbill?

A superbill is a detailed receipt for mental health services that includes the information your insurance company may require if you choose to seek out-of-network reimbursement. For clients with out-of-network benefits, superbills are generated monthly and available in the client portal for you to download and submit directly to your insurance provider. Reimbursement, if any, depends on your individual insurance plan.

Can I communicate with my therapist between sessions?

Phone, email, and text are used for scheduling and administrative communication. Clinical care is provided during scheduled sessions rather than through email or text. For clients with standing weekly appointments, supportive coaching calls may also be available between sessions for an additional fee.

What happens if I need to cancel or I'm running late?

We ask for at least 48 hours' notice to cancel or reschedule an appointment. Appointments changed or missed with fewer than 48 hours' notice are charged the full session fee, and arriving more than 15 minutes late may be considered a late cancellation. Life happens, though — each client may request fee forgiveness once per year for extenuating circumstances.

Need immediate help right now?

If you are in crisis or concerned about immediate safety, call or text 988 for the Suicide & Crisis Lifeline, or call 911.
